This subject deals with the basic characters of the manager to run an organization effectively and the things he should imbibe in himself to improve his efficiency.

Qualities of the effective manager include decision making, initiative, well informed, determined, energetic, creative, intelligent, knowledgeable, responsible, and intuitive.

These qualities help the manager to contribute to the organization in three ways.

Communication may be understood as the process of exchanging information and understanding among the people.

· Communication involves transmission and reception of messages.

· Communication involves people at least two one to transmit.

· Communication is an active, continuous, reciprocal and dynamic.

· Effective communication is important for managers in the organization to perform their basic function of planning, organising, leading and controlling.

· Managers in general , spend as much as 37.5 hours communicating per week .

· For an organization to work effectively communication is the basic requisite , interpersonal intergroup and intra group communication are essential for information to flow, ideas to generate and feelings to be exchanged.

Advantages of communication

· communication helps control member behaviour in more than one way.

· Communication fosters motivation by clarifying to employees what is to be done , how well they are doing and what can be done to improve performance if is below standard.

· Communication provides information to individuals and member for making a decision by identifying and evaluating alternative choices.

· Communication plays an important role in knowledge management. Particularly in minimising the “silos of knowledge” problem that undermines an organization potential.

Disadvantages

Communication does not have disadvantages but sometimes if the communication is not proper then it can create misunderstanding among the employees of the organization. These are genrally due to communication barrier present in the organization.

Grape vine if in the negative form also reduces the performance of the employees. It lead s to wastage of time in mare gossiping which is not good for the achievement of goals in the organization.

Noise and rumours make communication ineffective as they modulate the actual information and misconceptions are generated.

Communication has a great scope in this present world from the ancient times communication has changed a lot from letters to emails , face to face meetings to video conferencing, internet, mobile phones and other gadgets which has made communication really fast and as the technology is growing the way of communication is also changing, this fast communication has made the things very easy for the business organization and made this world very compressed .There is more improvement going on in this field and in future years we will see that how technology and communication change this world.

Traditional methods of communication

Earlier communication was a very slow process in ancient times birds were used to send information from one place to another.

Humans used to travel the distance to send the information.

After that came the system of letters which fastened the process of communication.

This letter system was continued with the different version of letter which were faster than normal letters.

These were telegram, speed post etc………….

In organization face to face conferencing, was done to give information.

Interoffice memorandum is used to send information with the office.

Notices are used to declare something or giving warning.

Proposals are used to communicate with service provider and reports are also used to communicate about the product or some other issue.

Modern technology used in Bajaj electrical for communication

Information technology is mainly used as channels of communication. The internet, World Wide Web, electronic mail, voice mail and telecommunicating constitute the state art of information technologies.

The internet is an integral global network of computers that gives user access to information and documents. Anyone with a personal computer , modem and relevant software can access the internet and obtain the share information with others via e-mail , which are electronic messages transmitted to and from internet host computer.

Electronic mail (e-mail) enables people to exchange information through computers. This communication has the potential to radically change internal coordination and integrate systems and communication with external suppliers and customers.

Voice mail is a computer based message system that enables people access by telephone. Voice mail is the human equivalent of e-mail although more expensive than e-mail system, voice mail is a richer information medium. It is an excellent medium for sending short simple and non controversial messages.

Telecommuting is a practice of working at home while being electronically linked to the office. Employees who work at customers office or communicate with the office or plant via laptop computer or mobile phone would be classified as telecommuters. Telecommuting often involves the use of computer based softwares e-mail, voice mail fax machine and related technologies.

Video conferencing used in the organisations to contact persons in different areas. This technology has brought people very close to each other as they can communicate face to face even if they are far away.

Problems related to these communications

In these types of communication major problem faced is that there is always a chance of misunderstanding of the information .

Sometimes person receives the information late which also hampers the process of communication.

Usefulness of these types of communications

But these methods of communication have really brought a revolution in this era of technology. Earlier the information which took moths to reach from one place to another now take seconds which has increased the efficiency of the organization and let them set higher goals for themselves.

The organizations use the internet to explain their benefits to newly hired employees.

The World Wide Web is part of the internet that supports a retrieval system for a vast amount information and document on all topics. Websites or home pages are formatted address that provides access to that material.

Many other examples are there to prove the utility of these channels of communication.

From this research I conclude that new technologies provided to us gives better communication at a fast pace which has led to the increase in efficiency of the organization and their employees but this communication is also not perfect because we are still facing problems, due to lack of good communication this problem has also led to the crisis situation in some organization. But we can hope that in future years we will not face such problems as the communication process is growing with the growth in technology and communication has great scope in future.
